Crew capacity calculator for service businesses

This calculator is designed for small contractors and service businesses that plan work around crews and repeatable jobs. It can be used for cleaning, landscaping, handyman work, painting, moving, mobile services, and similar field work.

It focuses on a simple question: given the labor hours your crew has available, how many average jobs can fit into a day or week? The calculator counts only whole jobs that fit within each workday and shows the labor hours left unused after those jobs.

How many jobs can my crew complete per day?

Divide the crew's available labor hours per day by the average labor hours required per job, then round down to whole jobs. Weekly jobs are estimated as jobs per day × workdays per week.

What are labor hours?

One labor hour is one person working for one hour. For example, a 3-person crew working for 2 hours uses 6 labor hours.

Should travel and setup time be included?

Include them if they consume the crew capacity you are trying to plan. You can reduce the available hours per worker or include the time consistently in your average labor hours per job. Do not count the same time in both places.

What if one job takes more labor hours than the crew has in one day?

The calculator will show 0 estimated jobs per day and 0 estimated jobs per week. This tool assumes each job is completed within one workday and does not carry unused labor hours across days.

Does this tell me how many jobs I should schedule?

No. It is a capacity estimate based on the inputs you provide. Actual scheduling may need extra room for travel, weather, delays, skill requirements, customer time windows, equipment, and other constraints.

Does this calculate payroll or overtime?

No. This tool estimates operational labor capacity only. It does not calculate wages, overtime pay, payroll taxes, or labor-law requirements.
